Keep Files Organized and Easy to Find
This guide explains the standard folder structure we use in Cinecraft’s Shared Drives for client work, project management, and internal documentation. Following this structure ensures consistency and makes collaboration across teams simple and efficient.
Folder Structure Overview
Shared Drives Folder (Top-Level)
This is the main container for all company-wide folders.
Bids Folder
Used for storing documents related to potential work or early-stage discussions.
Client Folders
Each client has a dedicated folder. Within each client folder, you’ll find the following:
Admin Folder
For Admin use only.
Branding Folder
Client branding assets such as:
Logos
Brand standards
Fonts
Production Folder
Contains everything related to ongoing or completed production work. Inside:
_shared-media
FolderReusable non-branding media files (e.g., B-roll from photoshoots)
Project-name
FolderAudio Folder – Music, VO, and sound effects
Deliverables Folder – Final outputs
Design Folder – Graphics, comps, layouts
Video Folder – Source and rendered video files
Project Files (root level) – Includes core working files
Shortcut to X-####-project-name Folder – Links to the corresponding Projects folder
Projects Folder
Organized by Job Number (e.g., X-1023
)
Inside each Job Number folder:
_reference Folder
Context-only content (recordings, example materials, prior work)
Instructional-Design Folder
All documentation related to instructional and learning design
Design-Documents Folder
Finalized design docs and storyboards
Includes an
_archive
for older versions
Project-Management Folder
Contains documents related to planning and tracking:
Invoices Folder and
_archive
SOW Folder (Statements of Work) and
_archive
Timelines, Overviews, Change Forms – kept in the root
Shortcut to related Production Folder
Modifications
Users are free to add folders as needed to stay organized, but please follow the general structure above when possible.
Versioning (End-of-Project Protocol)
When a project is complete:
The developer must zip the project’s Production folder
Name it like this:
d####-production-snapshot-YYYYMMDD.zip
Place it in:
Projects > Job Number Folder
These zipped folders serve as version backups and must not be deleted
